Using the Condition Report PDF
In the Condition Report the diagrams for indicating the location of damages and interventions appear on the same page as the related sections of the form. The symbols for indicating damages and interventions can also be electronically copied, pasted, moved, resized, and rotated in the Condition Report diagrams. There are three possibilities for using the electronic version of the Condition Report Form. First, a printout of the form and diagrams can be filled out by hand so that copies can be kept either on file or with the instrument or bow. Alternatively, the forms can be completed electronically prior to printing the report; this way, the diagrams can still be marked up manually. A third choice is to complete both the form sections and the diagrams electronically; in this case, the electronic version, accompanied by other digital images and files, can be stored, copied, or distributed as necessary. As with all electronic data, backup procedures should be carried out regularly to prevent accidental loss.
Electronic Format and Software
For best results the PDF with editable form fields should be filled out and printed using Adobe Reader 9.0 or later. Adobe Reader is free and can be downloaded at www.adobe.com. To complete the form electronically, first copy it to the hard drive of your computer, and then use Save As to save a new copy of the form under an appropriate name and in an appropriate directory or folder.

Please note that with the electronic forms and diagrams, the instrument or bow ID Code entered on the first page will automatically appear at the top of each subsequent page.
Using the Condition Report Symbols
To use the damages and interventions symbols, open the Symbols Palette included on the Documentation CD-ROM and adjust the window such that the column of symbols remains visible next to the report being filled out. To apply a symbol, click on it, copy, and then paste it onto the page where it is needed. Once the symbol is pasted on the page, it can be moved into position, rotated, and resized using the mouse and navigational arrows. Since all the symbols (except those for retouch) have transparent backgrounds they can be used in combination to indicate, for example, that a crack is accompanied by varnish damage and/or has been repaired with cleats or other surface reinforcements. The symbols for indicating areas of retouch are solid (rather than transparent). The various shaded shapes that have been provided can be combined or superimposed to create irregular areas as needed. To use retouch symbols in combination with other symbols, apply retouch shading first, and then paste other symbols on top.
The surface damages/alterations symbol can be used for both instruments and bows to indicate any of the phenomena listed under Substrate, Surface Coatings, and Non-wooden Elements in the glossary of terms for condition reporting. The phenomena indicated should be specified in the written section. Certain commonly used shapes of patches and surface reinforcements, designed to fit precisely on the diagrams — including “eyebrow” cleats around the f-holes, breast patches between the f-holes, doublings of the end-block areas, and trapezoid-shaped reinforcements to fit the perspective rendering of the interior of the ribs — have also been provided. In addition to the specialized symbols provided, the standard markup tools in Adobe (available at the top of the screen under Tools p Commenting & Markup) are also useful. For instance, the Arrow Tool can be used to indicate a precise location that is discussed in the form; the Callout Tool can be used to tag a note directly to a point indicated; and the Pencil Tool can be used to draw more precise cracks or irregular shapes. Select Show Commenting & Markup Toolbar to display the markup toolbar that will remain on the screen. Right-click on a tool to display the Tool Default Properties which can be used to change the colour, thickness, solidity, etc. of the line. To deactivate a tool and return to using the Symbols Palette or to entering text, select the Select Tool (under Tools p Select & Zoom). Note, however, that electronic markup of the diagrams using only the tools available in Adobe Reader imposes various limitations. In cases where more flexible and refined markup tools are required, the best option is to import the Condition Report into a full-function graphics program (such as Adobe Illustrator).
